What we are

A planning partner, not another vendor to chase.

Greektopia plans collegiate events for sororities and fraternities: formals, semi-formals, bid day, date parties and parents weekend. We handle venues, vendors, contracts, transport and the day-of run of show.

There is no separate planning fee on top of the chapter's budget. The chapter sets a number, pays it to Greektopia from the chapter account, and we handle the venue and every vendor out of it. Because we book so many events, we secure rates a single chapter could not, so the budget goes further, not to us.

You can see everything the exec board sees.

Every chapter gets a private dashboard. Advisors get their own login to the same place, so nothing has to be forwarded to you or summarised second-hand.

Event dates, venues, contracts, budgets and photos. The same view the exec board has, in real time.

Contracts come to you first

Any contract that needs a signature is sent to you for review, and the chapter cannot sign it until you have read it and marked it reviewed. Nothing gets committed behind you.

Read-only by default

You can see and comment on everything without being able to change it by accident. The chapter keeps ownership of its own decisions.

The chapter can't sign until you've reviewed.

When advisor review is switched on for your chapter, any contract that needs a signature is held until you have marked it reviewed inside the dashboard. The chapter physically cannot sign it before you do. Your review is recorded with your name and the date, so there is a clear record of who reviewed what and when.

You review the contract, not every event detail, and you can raise anything that needs changing before it moves forward. Whether review is switched on is set up when your chapter joins; either way you keep full visibility of everything they're planning.

Vetted vendors

We work with venues, transport companies and vendors we have used before and hold to professional standards. We do not hand a chapter a list and wish them luck.

Your rules come first

Every national organization and university has its own event policy. Tell us yours and we plan inside it. We would rather redesign an event than put a chapter in front of its standards board.

Documentation on request

Insurance certificates, vendor documentation and contracts are available to advisors and university staff on request. Email us and we will send what your institution requires.
